Company

C-volution is a company dedicated to moving people forward through our focus on self-awareness and personal development. We use the written word as the basis for much of our work – see here for an explanation.

 

Data Collection

Due to the particular nature of our work, we collect both standard and specific personal data. Standard data includes name, email address and phone number.

Specific personal data often comes in the forms of personal, daily reflections. These reflections are a powerful tool for increased observation and self-awareness. They are essential to being able to process the day-to-day experiences at a deep level.

The daily reflections are used to provide feedback to clients so that they have a greater understanding of themselves, a record of their process, and a helpful reference from their interaction with the coach/trainer.

 

Data Protection Policy

Storage

The daily reflections are sent (usually weekly) by the client via email. As soon as an email has been received from the client and the information saved to a password-protected laptop hard drive, the email and its attachments are deleted from the inbox.

All stored data is anonymous. No client names are used or maintained in any of the daily reflection documents. Client names are present on the permanently stored invoices (and initials are used in the invoice admin document), but elsewhere on the system, numbers are used for each client.

We store personal information for only as long as we have a reason to keep it. We do not have a dedicated Data Protection Officer, as the information stored is not the core of our business and we do not collect it on a large scale, but we do everything we can to ensure your data is protected.

Neither do we require a Data Protection Impact Assessment, as C-volution does not meet the criteria for one.

You will be informed as soon as possible if you are affected by any security breach.

Retention

Once the written reflections have been transferred (and the original email deleted), the data is stored on the trainer’s laptop (password protected) for the duration of the trajectory (which usually lasts 3-4 months). Thereafter all information is permanently deleted. In the event that a trajectory lasts longer than three months, only the last three months’ reflections will be saved. All others will be deleted.

With regards to our website, if anyone leaves a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

Permission

The client gives their express permission for the above collection and storage of their information, in the form of an email. A copy of this email is held in the company records for the duration of the trajectory. At any time the client can withdraw their permission (via email) and all specific personal data will be deleted.

What rights you have over your data

You can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.

Where we send your data

No personal data is shared with any third parties. Visitor comments may be checked through an automated spam detection service.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account and are logged in to that website.
